Grade Book Templates using MS Excel

THE BEST GRADE BOOK -  You may enter grades as either Points or Percents - just be sure to save the correct files before you enter anything.  You don't have to perform any calculations!  This grade book calculates each quarter's grades, semester averages, and the year-end average.  Only enter names once for the entire year - once, not even once for each subject, really just one time.  It includes reports, charts, summaries, possible interims with comments, etc. - you might not use everything, but it's here!

 

Delete is Dangerous
Do not delete a row in the gradebook spreadsheets - use "clear" instead!
In the menu bar click Edit - Clear - Contents.
"Delete" may/will cause incorrect formulas to be created, 
especially if you are deleting a student.


To use the grade book you will need to save (download) each file into the same folder.  Please do not work from the file as opened from this web page.

  1. Right mouse click the file name on this web page

  2. Click “Save target As”, don’t change the filename, save it in your own folder on the server (do this for each of the 4 files)

  3. Make sure all 4 files are closed

  4. You may rename each file (still closed) but I don't recommend it

  5. Open first quarter – make changes – save – close

  6. Open 2nd quarter – when asked to link – direct it to the renamed file (you have to erase the file name, refresh the folder, then click on correct name), close

  7. Continue with steps 5 & 6 for the 3rd and 4th quarter

Be sure to use the correct set of files - 
either Percents or Points.  The calculations are different 
for each method of grading

Note:  These files are set up for a maximum of 28 students.

Grades entered as
PERCENTS
(also use this if you use a "4- or 5-point" scale - you will have to change the letter grade formula - see Kathy for more instructions if necessary)

Grades entered as
POINTS
(i.e each assignment may be worth any number of points and the student grade is entered as the total number of points earned - a percent is automatically calculated when determining the final grade) If you use a "4- or 5-point" scale, you must use the PERCENTS files instead of this.

Tips offered by fellow teachers at the November 22, 2006 Inservice:

  • For those students with missing grades, absences, excused work, or other circumstances you may color code the grade cell by using the "fill bucket" with a color of  your choice.  Thanks to AH.

  • Instead of keeping a grade cell empty, resulting in an inaccurate grade, you might "force in" a 75 along with color coding.  Thanks to JB.

Changes 10-10-2003
- Added an expanded grading scale to the 1st Quarter Grades worksheet - it is now the default scale.  Instructions for making changes to the grading scale are included in the first quarter file.
Improved 9-15-03:  Now has a separate file for each quarter; only enter the names in the 1st quarter and they will automatically appear in the remaining 3 quarters; 2nd quarter has a 1st semester average; 4th quarter has a 2nd semester average and a year end average.
